This website (AI Soul Sync, aisoulsync.com) presents the K-Bao AI companion robot and connects customers with our sales team through on-site chat. This policy explains what personal data we process and why, in line with the EU General Data Protection Regulation (GDPR).
1. Who is responsible
The operator of this website is the owner of the AI Soul Sync / K-Bao brand (a small independent business selling AI companion robots). The contact channel is the on-site chat at /chat?lang=en. We do not publish a postal address; requests can be sent through the chat and we will respond in writing.
2. What data we collect and why
2.1 Chat messages (legal basis: consent / pre-contract contact)
- When you use the chat we store your message text, the product you were viewing, a session identifier, timestamps, your browser user-agent string and IP address.
- Purpose: to answer your enquiry, to let our staff follow up by email if you ask us to, and to keep a conversation history you can re-open.
- Chat content is processed by our staff and by translation/summarisation tooling that helps us answer in your language. We do not sell it.
2.2 Account & email (legal basis: consent)
- The optional "sign in" uses only your email address plus a 6-digit verification code sent by email (SMTP provider: Tencent QQ Mail). No password is stored.
- Purpose: to link your chat history to your email so you can review it later, and (only if you ask) to send follow-up messages.
2.3 Visit statistics (legal basis: consent — cookie banner)
- Only after you accept analytics cookies we record page views: page URL, page type, referrer, device type, screen resolution, time on page, language, plus IP and user-agent. This helps us see which products interest customers.
- Analytics cookies are not set without your consent. You can withdraw consent at any time via "Cookie settings".
2.4 Cookies we set
- Strictly necessary (always, no consent needed):

3. Payments
This site is a showcase: it shows no prices and has no cart or checkout, so we collect no payment data.
4. Data storage location & transfers
Data is stored on our own servers. When you use the chat in a language other than English, message text may be translated through cloud translation services for the purpose of replying to you. Visitors from the EEA: we rely on standard contractual clauses for such transfers.
5. Retention
- Chat logs: kept while the conversation is active; summaries and follow-up records may be kept for business correspondence, typically up to 24 months.
- Visit statistics: kept for up to 24 months.
- Email verification codes: valid for 5 minutes only.
- You may ask us to erase your chat history at any time through the chat ("clear my chat history").
6. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, object to, and port your data, and to withdraw consent at any time (withdrawal does not affect processing already carried out). To exercise any right, contact us through the on-site chat at /chat?lang=en and describe your request. We respond within one month.
7. Children
K-Bao is a family product, but the chat on this site is aimed at adults with business or pre-sales questions. We do not knowingly collect personal data from children through this site; if you believe a child has sent us personal data, contact us and we will delete it.
8. Security
The whole site is served over HTTPS. Access to customer data is limited to a small number of staff accounts protected by private session cookies.
9. Changes
We may update this policy as the site evolves; the date above reflects the current version. Localized versions are available via the language switcher.
